Win-back campaigns: segment customers by behaviour

Use behavioural signals to win customers back with relevant messages, clear limits and an easy way out.

A win-back campaign should not treat every inactive customer alike. Time since last purchase, frequency, product interest and recent interactions help determine the right message, channel and timing.

Inactivity is not one segment

A monthly buyer inactive for 45 days differs from someone who purchased once a year ago. Define inactivity ranges that reflect the business cycle and combine recency, frequency and value.

Add visits, clicks, support contacts and product usage. A customer returning to the website deserves a different approach from one showing no activity.

Start with actionable segments

Use a few groups that lead to different actions instead of dozens of filters that nobody maintains.

  • repeat customers beyond their expected interval
  • first-time buyers with no second purchase
  • high-value customers with declining frequency
  • inactive contacts showing fresh engagement

Build a respectful cadence

The first message should restore context and provide value: a relevant update, useful content, replenishment or assistance. A discount is not always the best answer.

Set message limits, intervals, approved channels and exit conditions. A purchase, reply, unsubscribe or prolonged silence must end or change the flow.

Connect systems and protect data

Link CRM, commerce and campaign tools with a consistent identifier. Refresh segments automatically and never send a return offer to someone who has already purchased.

Use only necessary data, record consent and respect channel preferences.

Measure more than opens

Track reactivation, incremental revenue, margin, unsubscribes and time to the next purchase. Use a control group when possible so natural purchases are not credited to the campaign.

Conclusion

Strong win-back recognises customer history and responds to current behaviour. Start with simple segments, useful messages and exit rules, then refine timing and value using results.

Perguntas frequentes

How long before a customer is inactive?

Use the normal repeat-purchase interval for that category rather than one universal number.

Must a win-back include a discount?

No. Useful content, updates, replenishment or service may protect margin and work better.

When should someone leave the campaign?

After a purchase, reply, unsubscribe or reaching the defined time and attempt limit.

How should reactivation be measured?

Track purchases, incremental revenue, margin, unsubscribes and ideally compare with a control group.
